Groups

Groups are used to group learners together so that they can be managed and assigned learning as a collective. 

 

Creating a group manually

Go to Admin > Groups:

Click NEW GROUP

Fill in the details of your group:

Name: The name that will be displayed in the groups menu and in the front-end if your group is set to "public".
External Ref: The name used if your LXP talks to HR systems or other external services.
Description: A description that's only displayed in the groups menu - used by admins to note the purpose of the group. 
Visibility:

If set to "Secret", the group will only be visible to admins. If it's set to "Public", you'll be able to filter comments sections and user contributions by group:

Creating a group via CSV

Groups can also be created using a CSV upload. Simply click on Import Groups:

Click DOWNLOAD THE CSV TEMPLATE (if you don't already have it) and fill it in:

CSV Field Required? Meaning
Group Name Required Name of the group.
Username Required Usually their email address.
Email Required This can be left blank if it is the same as their Username.
Group Admin Optional Enter 1 if they are to be a group admin and 0 if not
Group Tutor Optional Enter 1 if they are to be a group tutor and 0 if not.
Group Reviewer Optional Enter 1 if they are to be a group reviewer and 0 if not.

 

Now click Choose file and upload your completed CSV.

Adding learners to a group manually

To add learners to a group, click Add Users:

Locate the learners you want to add and click the checkbox next to their name(s). Then click ADD USERS:

Learners added manually will be listed as "permanent" under User Type on the Members page:

 

Adding learners to a group automatically

There are two ways to automatically add learners to groups. You can go to Settings and use the Include users tagged option:

Any learners tagged with your specified tag(s) will be added to the group. 

 

Alternatively, if you want to specify more complex and dynamic criteria, you can use dynamic rules to automatically add leaners to a group. Click here to read more about using dynamic rules

 

Learners added automatically will be listed as "dynamic" under User Type on the Members page:

Roles

There are several roles that are specific to groups. These give users some admin powers over group members. Click here to read about group-based roles.  

 

Removing members and blacklisting

If you want to remove someone from a group, you can simply go to Members and click the   icon next to their name:

If, however, a learner still meets the criteria of your dynamic rules, they will immediately be automatically re-added to the group. In this insistence, you can prevent them being added by blacklisting them. To do this, click the   icon next to their name:

They will now appear on the Blacklisted page. You can un-blacklist them by clicking the   icon next to their name.

Downloading a csv of group members

To download a csv file containing the members of your group, open your group, go to Members, and click EXPORT TO CSV:

The CSV contains these columns: 

  • Last Name
  • First Name
  • Email
  • Username
  • Joined
  • User type
