Emails

You can send emails from each learning experience. This is useful if you want to let enrolees know about, for example, new content being added or unlocked, deadlines approaching, or prompts to contribute. When you click the Emails button on the learning experience menu, you'll see that it contains a few different sections.

Templates

In the templates section, you can view and edit email templates which you can then send in Send emails. To create a new template, click ADD TEMPLATE.

Here's what the resulting emails look like:

The Set Password and View Course buttons will only appear if the relevant checkboxes are ticked in the template. 

 

Once you've created a template, it will appear in the Templates section. From here you can use the icons in the Actions column to send, edit, or delete the template.  

 

Send Email

In the Send Email section select the email template you want to use, select who you'd like to send it to, and send it.

Invite Users

The invite users section is very straightforward. You just write your email, select who you would like to send it to, and click send.

As you can see, a View Course button is added automatically to all invite users emails. 

 

Digest

The digest sends specified users (typically admins, trainers, tutors, course administrators etc.) a regular summary of various pieces of information relating to the learning experience in a given time frame. For example, below is a comments report. It contains the text of the comment, the commenter's name, the date and time, and a link to the comment.

To set up a digest, click ADD.

Type:

  • Comments - shows any new comments left on objects in the LX. 
  • Course Completions - lists the names of any learners who completed the LX since the last digest.
  • User Objects - lists any new contributions in user contribution objects in the LX. 
  • Level Completion - lists the names of any learners who completed a level or levels since the last digest.

Level Completions - the name of the level is "test" in this example.

FrequencySelect how often you would like the recipients to receive the emails. Each digest will include any new changes or content since the last time the digest was sent. 

Time: This is the time at which the digest email will be sent on the specified day. 

Recipients: Enter the email addresses of the people you would like to receive the digest.

 

Scheduled emails

Scheduled emails can send emails automatically at specified times and events. 

To create a scheduled email click NEW SCHEDULED EMAIL.

Template: Select a template that you've created in the templates section (see above). 

Event (Type)

  • Course - Use this if you want to base the timing of your email on the start or end date of the learning experience.
  • Level - Use this if you want to base the timing of your email on the start or end date of a certain level in the LX.

If you select level an additional drop down will appear so that you can select which level you want the schedule to be based on. 

When: You can use these settings to specify when the email should be sent relative to the start/end date of the learning experience/level.
